Administrative Assistant to the Education Department

Qualifications

  • Proficiency in Microsoft Office Suite, PowerPoint, Prezi
  • Ability to access and manage education department data and information in various academic data bases
  • Ability to communicate effectively and politely, orally and in writing

Primary Responsibilities

  • Providing support for students with education department and university information to include field placements, course requirements, communication with school divisions, and licensure
  • Maintaining working knowledge and/or ability to verify information for state licensure requirements through the VDOE, Virginia Department of Education
  • Maintaining student files (electronic and paper) and on-going summary records (spreadsheets) with documentation of TB tests, background checks, social services checks, all testing results for Praxis Core, VCLA, RVE, and Praxis II, field placement evaluations, and recommendations from fine arts faculty
  • Maintaining contact with students and monitoring student matriculation in course completion relative to licensure requirements from semester to semester
  • Completing, verifying, and submitting reports as requested by the Virginia Department of Education
  • Planning and coordinating special events for the department to include community outreach activities, conferences, and clinical educator training events
  • Communicating (written and orally) with partnership districts (school divisions) to make field placements for aiding, assisting, and student-teaching
  • Creating and sending appropriate correspondence to track and verify recertification points and stipends to clinical educators
  • Completing, verifying, submitting individual student applications for the state licensure program
  • Maintaining data, reports, and other documentation for department and program accreditation purposes
  • Serving as recording secretary for all official events, department meetings, Teacher Education Committee, and advisory boards for the education department
  • Completing, verifying, and submitting monthly credit card reconciliations
  • Maintaining confidentiality in all areas of responsibility

Secondary Duties and Responsibilities

  • Providing general clerical duties and technical support for education department faculty
  • Ordering and maintaining supplies for education department

Work Schedule

Monday-Friday 8:00-4:00
40 hours per week

Travel and ADA-related requirements. 

  • Position requires you to stand, sit, reach with hands and arms, balance, stoop, speak with clarity and have appropriate vision and hearing capabilities, or be able to perform these actions with reasonable accommodations provided.
  • Occasionally travel may be required, mostly within Danville area, occasionally within Virginia.
